Booking Conditions

All bookings are made with  Love it Live it Poland represented by Bartosz Czauderna and located at ul. Działkowa 14a, 30-854 Kraków, NIP: PL6793049977, +48695137302, located in Poland operating under CEOTiPT with number 20163, hereinafter called ‘LiLi”.  

To book a place on a trip you must comply with following payment option.

  • Via internet transfer
  • Complete and submit the online ‘Love it Live it Booking Form’.
  • Upon receiving email confirmation from LiLi along with LiLi’s bank details. Either pay in full for the trip or pay a deposit of value defined on each individual trip’s page.

Deposits and Final Payment conditions

A deposit or full payment is required in order to secure a place on a trip.

The final balance should reach LiLi no later than 90 days before the beginning of the trip. If the balance is not received by the specified date, we reserve the right to cancel your booking and, unless a delay in your payment has been agreed in writing by LiLi, your deposit will be forfeited. Bookings accepted after the balance due date can be secured with the appropriate deposit and full payment must then reach us within 7 days of us confirming your booking or by the beginning of the trip whichever comes first.

All bookings require a received deposit or payment in full in order to be valid.

Unless the trip is full, you will receive confirmation of your secured place via email.

The deposits for the trips are per person, per trip and the value of each deposit is defined on each individual trips page on the LiLi website in base price. Other currencies will be changing on daily exchange rates. Upon booking you book a trip for price on given day. We exchange the money for local currencies to protect the trip from currency changes. Amount you owe is amount that your order states. If you send money in different currency than booking – you may be charged a difference missing that we will require for exchange. 

Cancellation and Transfeer of trips

Notice of cancellation must be given in writing. Should you cancel, the following scale of charges will apply.In case of a LiLi cancelation of the trip due to lack of participants – organiser will inform the participants month before beginning date and return 100% of amount paid.

If the participant decides to not take a part in a trip LiLi charges 15% of the trip price as operational cost if made 60 days or more prior to the trip

If the participant decides to not take a part in a trip LiLi charges 50% of the price as organizational cost if made 30 days prior to the trip

If the participant decides to not take a part in a trip LiLi charges 90% of the price as organizational cost if made later than 30 days prior to the trip

Please note that non of credit card or PayPal fees are refundable as per policy of these operators [PayPal, Stripe].

These terms are adopted throughout the travel industry and cover the costs of advance payments made by LiLi. Cancellation charges may be covered by your travel insurance provided the reason for cancellation falls within the terms of the policy.

If you wish to transfer from one trip to another, an administration charge of £50 will be payable, up to the time that the final balance becomes due. Any transfer after this point at the discretion of LiLi will be treated as a cancellation. A transfer request must be notified in writing and will not be actioned on the original trip booked until the administration charge has been received.

LiLi can not be held financially responsible in anyway for difficulties incurred during the flights or transport to the meeting point, even if the mode of transport is suggested by LiLi, the LiLi guides or any of its representatives.

LiLi can not be held financially responsible in anyway for any financial implication of transferring or cancellation trips with regards to flight or any other transport to get to the meeting point (whatever the reason for the cancellation of the trip).

LiLi can not be held financially responsible for any extra costs during the trip associated with delayed arrival, delayed baggage or change of schedules or any other such problems associated with transport to and from the meeting point and leaving point of trip.

No refund will be awarded by LiLi for any missed activities due to problems associated with the transport to and from the trip. For example, missed activities due to kayak not arriving or flights being delayed. Some costs may be recovered from your travel insurance provided the reason for delay falls within the terms of the policy.

Circumstances may arise where we are forced to alter dates, trip duration, transport schedules, or hotel accommodation before a trip starts. We will try to inform you of any such changes as soon as we know of them.

Whilst every effort will be made to adhere to the planned itinerary, it must be realised that with this type of adventurous activity changes to the programme will occur from time to time. LiLi accepts neither responsibility nor liability, for any ensuing costs, or the consequences of any such change, however caused.

Insurances and insurance guarantees

We are officially a Travel Operator which allows us to provide you a basic insurance which is now included in all our Trips ! Insurance is provided by UNIQA. This is the best insurance we can provide, in case you want to get extra coverage or higher insurance sums please consider getting additional external insurance. Those are sums for European trip,
Our UNIQA Insurance* includes:
– MEDICAL AND IMMEDIATE ASSISTANCE EXPENSES – 30,000 EUR
– CONSEQUENCES OF ACCIDENTS –  4,000 Worldwide
– TRAVEL LUGGAGE – 200 EUR Worldwide

However, this is just a basic in country insurance. We would like to still
advice that you are insured for cancellation or curtailment prior the
trip for whatever reason (for example, breaking your arm a week before the trip). Get insurance as soon as possible so that you are covered for the cost of the trip/reimbursement of your flights from early on.

Other Terms and Conditions

On assessing the conditions expected to be encountered on rivers or the abilities of the Trip Members, our Trip Leaders may decide to alter any proposed plan, river objective, river section or activity if they believe that to continue with the published itinerary, or any latterly agreed alternative, would place anyone at undue risk.

Our Trip Leaders will do their utmost to ensure that any problems are solved for the benefit of the group as a whole. Accepting these terms and conditions signifies your acceptance of the Trip Leader’s authority to make decisions affecting the group or individuals. For instance, the Trip Leader may require an individual or individuals to leave the trip if they believe that a person or persons health is at risk, if an illegal act is committed, or behaviour may become, or has been, detrimental to the safety, enjoyment or well-being of the group.

A client leaving a trip at any stage, for whatever reason, will not be entitled to any refund unless agreed by LiLi. Clients are advised to ensure that their travel insurance provides cover adequate for their needs.

LiLi receives regular Travel Advice from the PL Foreign Office (hereafter reffered to as FO).

We will not knowingly operate trips in contravention of such advice if it is published before the due start date of an trip.

LiLi will cancel a trip if the FO Advice effectively puts the destination country or significant parts of the country out of bounds such as to make the main objective untenable. If the main objective of the trip remains achievable in observance of the FO Advice, we will alter the itinerary and the trip will not be cancelled. For example, the FO may advise that it is unsafe to travel through an area which lies on the published approach. In such circumstances, if the river can be reached by using an alternative route, we will do so and the trip will not be cancelled.

If the FO does not issue advice against travel, a disinclination to travel on the basis of a perceived threat or hazard, howsoever formed, will be interpreted as a voluntary cancellation and the charges set out in the terms and conditions above will apply.

Non-UK Nationals should consult their own government for advice on travel to the destination country and all countries transited en route.

Group sizes described on the LiLi website are target sizes and may be changed at the discretion of LiLi. Similarly, trip leaders named in trip descriptions may also be changed at the discretion of LiLi.

LiLi reserves the right to cancel any trip which does not receive sufficient bookings to make it financially viable.

Anyone booked onto an trip cancelled by LiLi will be entitled to a full refund. Anyone on such an trip will be invited to transfer to another trip and no transfer fee will be payable. Should they transfer to another trip any difference in price will be invoiced or credited accordingly.

Neither LiLi nor any of its representatives will be responsible for any illness, injury or death sustained on our trips, nor will they be liable for any uninsured loss of personal property.

LiLi cannot be made liable for the consequences of strikes, industrial action, wars, riots, sickness, quarantine, government intervention, weather conditions, or other untoward occurrences, whatever they may be.

In the event of civil unrest in a particular region, we undertake to inform our clients of the situation as soon as we have knowledge of it.

Having made every effort to ensure the correctness of the LiLi website, we cannot be held responsible for any inaccuracies.

Prices on the LiLi site are based on costs and exchange rates as at the time they are posted on our website. LiLi sincerely hopes that surcharges will not be necessary, but in the unlikely event that they are, you may cancel your booking without penalty if the surcharge amounts to more than 10% of the cost of the Trip.

LiLi’s agents, representatives and instructors are not entitled to promise refunds for whatever reason, and LiLi will not be bound by any such promises.

These terms and conditions may only be waived or varied in special circumstances when written permission from LiLi is supplied.

All matters not regulated by the letter of this contract shall be settled by means of the respective regulations of the Civil Code.

Any disputes between the Parties shall be settled by the court appropriate to the registered address of LiLi.

When making your booking it is implied and accepted that you have read and understood all these terms and conditions.

Which data does the controller process?

Bartosz Czauderna operating under the company Love it Live it Poland Bartosz Czauderna as the controller within the meaning of the GDPR processes, in particular, the following personal data:

  • Personal data of applicants (the data, which applicants provide the controller for the purpose of participation in recruitment processes – in particular data included in a CV)

  • Personal data of contractors and their representatives (data related to companies* and their representatives – basic data used to issue and post invoices (name, tax identification number, business address) and to contact (name, surname, company name, job position, e-mail address, telephone number))

  • Data of individuals participating in trips organized by Love it Live it (name; surname; e-mail address; phone number; date of birth; address; passport number; PESEL / NIN number; nationality, health information that may affect the organization of the trip, in particular regarding past and present illnesses; taken medicines, including their dosage; information about a diet; information about the kayaking experience)

  • Individuals sending inquiries via contact forms, e-mail and telephone (basic contact details (name, surname, e-mail address) provided by individuals in relation to a questions sent to the controller)

  • Individuals, who subscribed Newsletter service (name and e-mail address which the individual provides when subscribing to the Newsletter)

* – data related to companies is treated as personal data only in situation, in which they allow to identify the natural person. Data of capital companies are not treated as personal data.

Under what terms does the Administrator process my personal data?

The principles of processing your personal data are presented below (in particular who has access to them, how long are they being stored and what is a legal basis of their processing).

Personal data of applicants

Your personal data will be processed for the purposes of a recruitment process or also for the purposes of future recruitment processes depending on the scope of your permission. Your personal data could be disclosed to entities authorized by current law provisions. The data could be also accessed by the entities that support Love it Live it in the scope of services and IT infrastructure. A legal basis for the data processing are applicable law regulations (particularly the Labour Code) and a consent given by you. The processed personal data will be stored till the end of recruitment process or till the withdrawal of consent given by you for the purpose of the future recruitment processes. Giving the personal data under the regulations of the Labour Code is compulsory, in all other cases is voluntary.

Personal data of contractors and their representatives

Your personal data will be processed for the purposes of establishing and conducting business contacts, executing agreements concluded between parties and implement legal obligations (especially those arising from the Accounting Law and the VAT Act). Your personal data could be disclosed to entities authorized by current law provisions. The data could be also accessed by the entities that support Love it Live it in the scope of obligations imposed on the controller on the basis of applicable law provisions (e.g., to the accounting office,) and also by entities that support Love it Live it in the scope of services and IT infrastructure. legal basis for the data processing are applicable law regulations (particularly the Accounting Law and the VAT Act), art. 6 par. 1 pt. b RODO – processing is necessary for the performance of a contract and the legitimate interest of the controller which is establishing and conducting business contacts. Your personal data will be stored until you object to its processing, however not less than in accordance with the applicable Law. Giving the personal data is voluntary, however it is necessary to establish and conduct business contacts and execute agreements concluded between parties.

Data of individuals participating in trips organized by Love it Live it

Your personal data will be processed for the purpose of organizing your trip and ensuring the safety of participants. Your personal data could be disclosed to entities authorized by current law provisions. The personal data to a limited extent could be disclosed also to insurers, hotels, campings, hospitals, doctors, drivers, restaurants and other entities, to which transfer of the data is necessary to perform the service in accordance to the contract concluded with the participant (depending on the destination, some controllers may be established outside the European economic area – in those countries, the European Commission has not issued a decision stating the appropriate level of data protection, which may involve an increased risk to the security of this data). The data could be also accessed by the entities that support Love it Live it in the scope of services and IT infrastructure. A legal basis for the data processing is a consent given by you. Processed personal data will be stored for 5 years starting from the end of the calendar year in which the trip was completed. Giving the personal data is voluntary, however it is necessary to participate in a trip organized by Love it Live it.

Individuals sending inquiries via contact forms, e-mail and telephone

Personal data will be processed in order to conduct electronic correspondence and to carry out activities undertaken at your request. Your personal data could be disclosed to entities authorized by current law provisions. The data could be also accessed by the entities that support Love it Live it in the scope of services and IT infrastructure. A legal basis for the data processing is legitimate interest of the controller which is conducting electronic correspondence and the implementation of actions taken at the request of data subjects. The processed personal data will be stored during the period of conducting electronic correspondence or till the time of implementation of activities resulting from the query sent and then for a period resulting from the internal office instruction (maximum 10 years). Giving the personal data is voluntary, however it is necessary to exchange electronic correspondence or take action taken at your request.

Individuals, who subscribed Newsletter service

Your personal data will be processed for marketing purposes. Your personal data could be disclosed to entities authorized by current law provisions. The data could be also accessed by the entities that support Love it Live it in the scope of services and IT infrastructure. A legal basis for the data processing is legitimate interest of the controller which is self-marketing. Your personal data will be kept until you object to their processing or withdraw your consent to receive commercial information. Giving the personal data is voluntary, however it is necessary to sign up to / receive NEWSLETTER.

General principles regarding the processing of personal data

While processing personal data, Love it Live it does not make any decisions in an automated manner. Personal data, on the basis of legitimate interest of the controller could be processed by Love it Live it also for the purposes of defense against claims as well as for the possible pursuit of claims and for the purposes of statistics.

What rights do I have in relation to the processing of my personal data by Love it Live it?

You have, depending to situation, a right to:

  • request from the controller access to, rectification and erasure of personal data, restriction of processing, objection of processing as well as the data portability

  • withdraw given consent at any time. The withdrawal of the consent does not affect the lawfulness of processing based on consent before its withdrawal;

  • lodge a complaint with a supervisory authority (PUODO – Prezes Urzędu Ochrony Danych Osobowych)
